AI Training & Competency Assistant — SOP changes turned into training, automatically
The AI Training & Competency Assistant turns your own controlled documents into training the moment they change — change summaries, modules and assessments generated for trainer review, with role-based training matrices kept current automatically. It works as a layer on your existing LMS, not a replacement.
Training keeps pace with document control
The gap between "SOP effective" and "staff trained" is where findings live — and where trainers burn their week on drafting and chasing. Generation-for-review closes the gap and gives the week back.
The working day today
- Every SOP update waits for someone to hand-write the summary, module and quiz
- Recertification campaigns run on spreadsheets, chase-up emails and hope
- Lapsed training is discovered by the auditor, not the dashboard
- New-starter curricula are assembled from memory, differently each time
- "Prove this person was trained on this version" triggers a records scramble
With this solution
- Change summaries, modules and assessments draft themselves for trainer review
- Campaigns schedule, assign and chase automatically through your LMS
- Gaps are flagged before the effective date, with assignments already drafted
- Role-based curricula derive from the matrix — consistent, complete, instant
- Version-linked records answer the inspection question in one query
What that means in productivity, time and money
Deployment is measured on drafting time saved, training completion before effective dates, and gap counts — baselined in your pilot department.
Content creation stops being the bottleneck: a trainer approves in minutes what took days to write, so one training team keeps pace with the whole document change pipeline — across sites and shifts.
Training materials are ready the moment the SOP change is approved, so the effective date no longer waits for training — and training no longer quietly lags the effective date. The riskiest gap in your compliance calendar shrinks toward zero.
Training gaps are among the most commonly cited inspection findings, and each one costs investigation, response and credibility. Automated matrices and chase-ups cut the gap count, and campaign administration stops consuming a hidden headcount every recertification season.
Figures are indicative of typical industry workloads. Your pilot establishes your actual baseline and measured return before any rollout decision.
The gap between "SOP effective" and "staff trained" — closed
That gap is where inspection findings live. The assistant keeps it as close to zero as your approval workflow allows.
SOP-to-training generation
When a controlled document changes, the assistant detects the substantive changes and drafts the change summary, training module and assessment — for trainer review, never auto-released.
Role-based training matrices
Maintains who-needs-what-by-when across roles, sites and shifts. Role changes, new starters and document updates all trigger the right assignments automatically.
Adaptive assessments
Question banks generated from your own procedures, varied per attempt, with remediation targeted at what each person actually got wrong.
Refresher scheduling
Annual GCP and role-based recertifications planned automatically, with micro-refreshers between cycles instead of one yearly cram.
A layer on your LMS
Assignments, completions and records flow through your existing LMS — ComplianceWire, SuccessFactors, or others. No migration, no second system of record.
Inspection-proof records
Every completion is attributable, time-stamped and linked to the document version trained on — the exact evidence chain inspectors ask for.
Four training moments every GxP company recognises
Twenty SOPs updated this quarter. Training due before each goes live.
Today, someone in QA writes each summary and quiz by hand, and the effective date slips — or worse, doesn't, and training quietly lags behind it. Generation-for-review turns days of drafting into an approval step.
Annual GCP refreshers for 400 people, without the spreadsheet
Recertification campaigns are usually run from a spreadsheet and a prayer. Automated scheduling, assignment and chase-ups mean the campaign runs itself — and the dashboard shows exactly who's at risk of lapsing.
Day-one training plans, generated from the role — not from memory
When someone joins or moves roles, their required curriculum is derived from the matrix instantly: which SOPs, which assessments, in what order, by when. Supervisors approve rather than assemble.
"Show me this person was trained on this version before this batch."
The classic question, and the classic scramble. With version-linked records, the answer is one query: person, document version, completion date, assessment result — assembled in seconds.

Connect documents & LMS
Read-only link to your DMS and an integration with your LMS. One department's matrix modelled first.
Configure roles & rules
Training rules, reviewer workflows and assessment standards agreed with QA and training leads.
Validate
GAMP 5 validation package, plus verification that records meet your data integrity requirements.
Launch & expand
Pilot department goes live; matrices and generation extend across sites with quarterly performance reviews.
Built the way your inspectors expect systems to be built
Whitehall has taught GxP compliance for over two decades. That thinking is in every design decision.
GAMP 5 (2nd Ed.)
Requirements, risk assessment, test evidence and traceability delivered with the deployment.
Trainer-in-the-loop
Generated content is always reviewed and approved by a qualified trainer or SME before anyone is assigned to it.
ALCOA+ records
Attributable, contemporaneous training records linked to the exact document version — your LMS remains the system of record.
GDPR & data residency
Staff data processed in your approved region under your access controls. No training of AI models on your data.
Questions training and QA leads ask us first
Does this replace our LMS?
No. Your LMS stays exactly where it is, as the system of record for assignments and completions. The assistant is the intelligence layer on top: it generates the content, maintains the matrix logic, and drafts the assignments — your LMS delivers and records them. That's deliberate: replacing a validated LMS is a project nobody wants.
Are AI-generated training materials and questions reliable?
They're reliable as drafts, and they're never released as anything else. Every module and question set is reviewed by your designated trainer or SME before assignment — the workflow physically prevents unreviewed content reaching staff. In practice, review takes minutes because the source is your own SOP; drafting from scratch is what used to take days.
Will the training records stand up in an inspection?
Yes — that's largely the point. Records are attributable, time-stamped, and linked to the specific document version trained on, satisfying ALCOA+ expectations. The deployment includes verification of the record chain as part of validation, and we help you update your training SOP to reflect the new workflow.
How much integration effort is involved?
Two connections: read-only to your document management system, and an assignment/completion integration with your LMS. Most mainstream LMS platforms have APIs or import formats we've worked with; the integration scope is confirmed during the pilot, before you commit to a rollout.
What about external training, like regulatory courses?
External courses — GCP, PV, GMP certifications from providers like Whitehall — slot into the same matrix as requirements alongside your internal SOP training. The matrix tracks both, so "is this person fully trained for this role?" has one answer covering internal procedures and external certifications together.
Bring one SOP update. Watch training write itself.
In a 30-minute demo we'll take a recently revised procedure and show you the change summary, module and assessment generated from it — then the matrix assigning it to the right people.
